Our client portal at mcigo.net. The portal is a separate system with its own login and its own terms. Information you enter there is governed by any Charter HR internal policy or procedure and/or your company's service contractual agreement with Charter HR, not by this website policy. Employee, payroll, benefits, or workers' compensation information. If your on-site employer is a Charter HR client, the information we hold about you as a worksite employee is governed by any internal policy or procedure, as well as our contractual commitments with your on-site employer, along with applicable federal and state law. That information could include protected health information provided to us in connection with our employee benefits services. Such information is safeguarded under agreements and policies of your healthcare providers and insurers typically governed by U.S. federal law. Third-party websites we link to, such as health or workers’ compensation insurance benefits providers and retirement plan administrators. Those companies have their own privacy policies and procedures. In short: this policy is about our website. It is not the document that governs the data we might receive or process as part of our PEO or payroll services to you or or your on-site employer.
Information We Collect
Information you give us. When you fill out a form on our website, request information, or schedule a call, we generally collect what you enter. Such information typically includes your name, company name, email address, phone number, and whatever you write in the message field. If you subscribe to our newsletter, we collect your name and email address.
You can browse the entire website without giving us any of that information.
Information collected automatically. Like most websites, this website records basic technical information when you visit. That includes your IP address, browser type and version, device type, operating system, the pages you view, how long you stay, and the website or search that sent you to us.
What we do not collect through this website. We do not ask for and do not want Social Security numbers, dates of birth, bank account or routing numbers, payment card numbers, health information, or any other sensitive personal information through our website forms. Please do not send such confidential information to us through this site. If you need to send sensitive information, call us and we will give you a secure method.

This website uses cookies. A cookie is a small text file a website stores on your device.
We use them in three ways:
Necessary cookies that make the site work, including basic security and load balancing. These are set by our website platform. Analytics cookies that help us understand how people use the site. We do not use website information for automated decision-making, and we do not use it to make employment decisions about anyone.
How We Share Your Information
We do not sell your personal information. We never have, and we do not share it for cross-context behavioral advertising.
We do share information in a few limited situations:
Service providers. Companies that help us operate, including our website host, our analytics provider, our email marketing platform, our scheduling tool, and our internal business systems. They may only use the information to perform services for us, and they are required to keep it confidential. Professional advisors. Our attorneys, accountants, and auditors, when they need the information to advise us. Legal requirements. When we are required to respond to a subpoena, court order, or other legal process, or when we believe disclosure is necessary to comply with the law, enforce our terms, or protect the rights, property, or safety of Charter HR, our clients, our employees, or the public. Business transfers. If Charter HR is ever involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction. We would require the receiving party to honor this policy or its provisions or notify you of any material change. How Long We Keep It
We keep website inquiry information for as long as we need it to respond to you and for a reasonable period afterward, in case you contact us again or in case we need it for recordkeeping, legal, or tax purposes.
Newsletter subscriptions are kept until you unsubscribe.
Analytics data is retained according to the settings in our analytics platform and is generally aggregated rather than tied to you individually.
Your Choices and Rights
Email. Every marketing email we send has an unsubscribe link. Click it and you are off the list. You can also email us at
info@mycharterhr.com and we will remove you from the list.
Cookies. Use your browser settings as described above.
Access, correction, and deletion. Depending on where you live, you might have the legal right to ask us what personal information we retain about you, to correct it, to delete it, or to receive a copy of it. Some states also give you the right to appeal if we deny your request, and the right not to be discriminated against for exercising these rights.
We do not intend to argue about which laws might apply to you or your situation. If you ask us to tell you what information we have, or to correct or delete it, we will honor any reasonable request regardless of where you live, unless we are legally required to keep the information.

If you are a worksite employee of a Charter HR client and your request concerns your payroll, benefits, or employment records rather than this website, please contact your employer or reach us at our address and we will route your request to the appropriate office or individual.
How We Protect Your Information
We use administrative, technical, and physical safeguards to protect the information we hold. That includes encrypted connections on our website, access controls that limit who can see what, and ongoing review of our vendors and systems.
No system is perfect, and no company can promise that information sent over the internet is completely secure. We are telling you that honestly rather than claiming otherwise.
Children
Our website is intended for business owners and professionals. It is not directed to children, and we do not knowingly collect personal information from any minor (typically anyone under 18 years of age for most U.S. states). If you believe a minor has provided us information through this website, please contact us immediately and we will delete any such information. We follow applicable state and local laws and regulations pertaining to the processing of wages for minors legally authorized to work in approved workplaces.
Changes to This Policy
If we change this policy, we will post the updated version here and change the "Last Updated" date at the top. If a change is significant, we will make that clear rather than expecting you to notice a new date.
